What is the purpose of this role?
To maintain high standards of service throughout the facility.
Location: Bromley Civic Centre
Working hours: 37.5 hrs a week working from Monday to Friday between the hours of 08:00 or 08:30 and 16:00 or 16:30 (flexible)
What will this role involve?
Be knowledgeable of site service demands and undertake Office Attendant duties across administration and building locations
Direct and assist visitors to the Civic Centre or other Council Offices inc. general support and guidance to public attending daytime/evening meetings.
Undertake the programme of Fire safety checks across the Civic Centre site.
Provide event management support to facilitate delivery of Onsite/Off site Annual Public Meetings, Public consultations and member initiated events.
Provide event management support to facilitate delivery of Civic Centre events as scheduled outside of the Council Programme of meetings.
Act as “usher” at civil wedding ceremonies, civil partnerships, Citizenship ceremonies and provide general support and guidance to public attending evening Committee meetings.
Provide a general security presence patrolling offices, grounds and dealing with disruptive visitors.
Core service support during pre, actual and post-Election periods including out of hours support
Be knowledgeable of, instruct upon and assist with the locking and unlocking of Admin buildings including setting or disabling alarms as necessary.
Be knowledgeable of and assist with the layout and breakdown of rooms for meetings, weddings, civil partnership and citizenship ceremonies as conducted within the Committee room suite and Old Palace, during down time periods of porterage support
Receive, co-ordinate/undertake the delivery of packets/parcels and be knowledgeable of electronic receipting procedures
Assist with mail services across the Admin building locations as required/necessary.
Undertake van delivery operations/services as required
Act in the capacity of a Fire Marshall during the course of actual events or fire drills.
Assist with pre, actual and post severe weather operations across sites including snow clearance and salting
Assist in the management and control of staff car parks.
Assist Contractors attending Council Offices by providing managed access to buildings, signing for deliveries etc.
External and Internal administration of notice boards
Undertake desk drops of Client generated staff/service publicity
Reporting defects in buildings to correct service point for resolution
Record cleaning defects as identified/reported for resolution by service team.
Be knowledgeable of Condeco on line meeting room system
To fully participate in the Amey performance appraisal and performance development system in order to and enhance personal performance and service delivery
Undertake any other duties commensurate with the level of the post, as required to ensure the efficient and effective running of the Department / Section and Civic Centre Site.
What are we looking for?
Able to communicate effectively with the public and all levels of staff in a friendly, pleasant manner
Ability to write concise and subjective Incident Reports
A working knowledge of building security and alarm activation/deactivation (desirable)
An appreciation of care and maintenance of office environments and car parks would be beneficial.
Previous experience of related work would be useful e.g. security, mail services, reception activity
SIA Licence (desirable) or must be willing to undertake training
No specific educational requirements are essential but training and/or certificates related to such matters as first aid, building security and customer care would be useful
Able to work additional hours, often at short notice, including evenings and week-ends
Flexibility around working patterns inc. cover for absences, A/L etc.
Needs to be physically fit and able to undertake manual handling
Ability to drive and have own transport desirable due to un-patterned attendances and need to undertake service operation driving duties
Ability to deal with difficult clients in a firm and non-confrontational manner
