G4 (Infra) Clerk 1 (Transport)
To provide administrative support to SO2 Infra HQ Colchester Garrison in the management and operation of Colchester Garrison Infrastructure in support of HQ 7 Infantry Brigade and HQ East’s Firm Base responsibilities
Process transport requests using the MOD mandated transport systems and the MOD White Fleet Administration IT system. Confirm entitlement for transport requests against MOD Policy, use of existing transport resources and ensure that hire of vehicles represents value for money.
Liaise with Units and transport supply Contractors in order for transport requests to be processed in a timely manner whilst ensuring entitlement, use of existing resources and ensure the use of hire vehicles represents value for money.
As directed by the Transport Control Warrant Officer issue Army Transport Work Tickets, Vehicle Packs Fuel and Toll Cards.
If required assist in the management of all single living and substitute service single accommodation in Merville Barracks. This may include processing of applications for substitute service single accommodation, the compiling of monthly accommodation returns and the processing of other ad hoc enquiries in respect of the use of single living and substitute service single accommodation.
When directed assist with the management of Logistic Support resources within delegated financial constraints.
If required act as iProcurment User on Contracting, Purchasing and Finance and hold an Electronic Procurement Card to purchase goods as directed by SO3 Infra (Logistic Support) in support of Colchester Garrison activity.
When directed process non-availability of accommodation certificates for the officers’ and senior non-commissioned officers’ messes for approval by SO2 Infra or a substitute delegated approver.
At the direction of relevant Authority Personnel perform general duties in accordance with the Staff Duties for Administrative Support Staff (Para 1.1, Appendix 3, Section 7 of Part 3 to Schedule 4 of the Project Agreement).
Assist with work within the Infra branch during periods of high activity, during absences and gapping of posts, in order to alleviate pressure and deliver firm base outputs.
To continue to develop one’s own skills and knowledge within the position, including any required training courses.
To maintain excellent client/customer relationships.
To attend team briefs and meetings as required.
To attend your performance development review to discuss job standards and agree development activities.
To care for all available resources including equipment, materials and supplies as directed.
To report any near miss occurrences, accidents or faulty equipment to management.
To ensure effective communication with line manager, team, customer and client organisation.
The Ideal Candidate
Knowledge and aptitude for computers.
Previous administration experience.
2 GCSEs at Grade C or above, or equivalent; or NVQ Business Administration Level 2.
Experience of MS Word, Excel and Outlook.
Good Telephone Manner.
Excellent interpersonal and communication skills
Ability to prioritise work
Ability to work to deadlines
Complete Contracting, Purchasing and Finance Training within 3 months of taking up post
Complete Electronic Procurement Card Training within 3 months of taking up post
Experience of producing documents such as databases/spreadsheets.
Experience of working within a military environment.
